Subject: Internal Communication Problem

Dear Mr. Santiago,

As it was elucidated in our meeting, there is a pressing issue concerning internal communication in the office. I found out that this has been happening with several teams.

We are certain that this was brought about by some employees’ lack of effort to check their e-mails regularly.

This complication was emphasized by the increase of misinformed employees. There have been cases when employees are unaware of announcements and events.

We think that we have to put forward a stricter e-mail policy to iron this out. It should highlight the importance of sending acknowledgment replies for every e-mail received.

I look forward to hearing from you regarding this matter.

Sincerely,
Amy Peralta
